What is Live chat vs chatbot?

Live chat connects customers directly to a human agent waiting online to answer questions in real-time. A chatbot is software that replies automatically without human involvement. Both handle customer questions, but live chat offers personal interaction whilst chatbots provide instant, always-on replies—sometimes both are used together for efficiency.

Live chat is a straightforward tool: a customer opens a chat window on your website, types a message, and a person on your team responds immediately. It's genuine conversation. Your customer knows they're talking to a human being who can understand nuance, handle complex problems, and make judgements that software can't. The tradeoff is that you need staff available during business hours—if nobody's at their desk at 2am, customers wait.

A chatbot is the opposite. It's a programme that recognises what a customer asks and provides a matching answer automatically. No humans required. It never sleeps, can answer thousands of customers simultaneously, and costs very little to run once it's set up. The limitation is that chatbots only work well for questions they've been trained to handle. Ask it something unusual or complex, and it struggles.

In practice, many small businesses use both. A visitor arrives at your website at 3am and asks about your opening hours—a chatbot answers immediately. At 10am, a customer has a detailed problem that needs reasoning—they get passed to your live chat team. This combination gives you 24/7 coverage without paying someone to sit idle overnight.

When someone asks 'What time do you close today?' the chatbot checks the knowledge base and replies instantly: 'We close at 6pm weekdays, 4pm Saturdays, closed Sundays.' For a visitor asking 'My toilet won't stop running and I can't afford a big repair—what should I try first?', Chat4Biz captures their details and books them an emergency call with the next available plumber. The chatbot handles simple queries, the plumber handles emergencies—no customer is left waiting without an answer.
